Gaelic Guides Terms and Conditions

Gaelic Guides is a trading name used by Comunn na Gàidhlig Ltd. (CnaG).

 

Insurance and Licensing

CnaG is covered by public liability insurance. The vehicles used will be insured for hire and reward and the driver(s) will hold any correct licences required by their local public authority.

 

Tours and itineraries

Agreed tours and trips will be exclusively for your group.

 

Costs and pricing

Costs per tour are as outlined in the tour pages of the Gaelic Guides website, or as agreed in writing (email) prior to a booking being made.

Any costs for accommodation or third-party admissions are the responsibility of the client unless previously agreed in writing.
The cost of guiding services does not include meals or other refreshments, unless previously agreed in writing.

Gaelic Guides will not add any additional cost or surcharge to any booking unless previously agreed in writing.

 

Confirmation of services
A 50% deposit confirms the booking.
The balance is due 28 days before the first booked touring date.

Cancellation
We will always try to be flexible to changes in clients’ circumstances or timetable, and will try and accommodate requests to amend bookings if alternative dates are available, and where this is possible no charge will be made. However, where this is not possible then the following will apply:

  • up to month before the booking- loss of 25% of total cost, plus any unrecoverable pre-booked expenditure
  • Up to 2 weeks’ notice – 50% of the total fee
  • Less than 2 weeks notice – Full day charge

 

Gaelic Guides/Comunn na Gàidhlig are not responsible for cancellations due to unscheduled closures by third party suppliers, or events beyond its control, but will take all possible steps to offer an alternative. Nor is it liable for any loss, accident, injury or damage to clients and their personal effects.

 

In the event of your Guide considering that you should not attempt to do a specific tour – for example because of unexpected adverse weather – and there is no mutually agreeable alternative tour, you will receive a full refund for any monies paid for guide services.

 

The Gaelic Guides cancellation policy will not be varied to accommodate clients who cancel tours because of conditions prevailing outside the UK. Such costs should be recovered from clients’ Travel Insurer.

 

The Gaelic Guides recommends that all clients have suitable travel insurance to cover any losses that may arise from cancellations.

 

Children 
No charge is made for children under the age of 5, beyond any applicable supplement for the provision of a child car seat. Children under 17 must be accompanied by a responsible adult at all times during a tour.

 

Seat Belts and Child Seats
UK law requires seatbelts to be worn by all occupants of a moving vehicle. Younger children will need an appropriate child seat. With advance notice Gaelic Guides will be able to supply a suitable child seat at an extra charge.

 

No Smoking
UK law forbids smoking in any Private Hire Vehicle.

 

Pick-up and drop-off

Clients will be picked up at the previously agreed time and place, and it is their responsibility to be ready at the agreed time. If the late availability of clients materially affects the ability to complete the given itinerary, then Gaelic Guides will seek to reach a mutual agreement with the clients on an amended timetable. However Gaelic Guides reserve the right to amend the itinerary in the interests of driving hours and safety.

Clients will be dropped off at the agreed location at as near as possible to the agreed time. However Gaelic Guides cannot guarantee any return time, and cannot accept any responsibility for delays caused by third parties, accident or other reasonably unforeseeable circumstances.

 

Extending a tour
Because of the nature of the Highlands and Islands road networks and Gaelic Guides wish to offer clients a degree of flexibility there will be no charge made for a discretionary extension to the tour day of up to 1.5hrs. No charge will be made for significant further delays beyond the control of the clients.

 

However, in normal circumstances, if clients wish to extend their tour significantly beyond the agreed booked time (more than 1.5 hrs), this is normally possible, subject to agreement about the additional expense this will incur.

 

Problems and Complaints
We will always try and address any problems or complaints. Clients should make problems known as soon as they arise, as this gives us the best opportunity to make the necessary changes.
